Hire Conditions
- By agreeing to hire equipment from Silent Groove, you agree to the following terms and conditions. Silent Groove undertake to provide you with the equipment you have requested, in working order, on the date(s) you have booked.
- To ensure your function, event or party is a hit, take the time to check all the equipment when you collect it. You will be responsible for all the equipment once collected until it is returned to Silent Groove. All equipment provided including headphones, transmitters, storage containers, cables and other devices need to be stored securely and returned in the same condition as they were on receival.
- Silent Groove ensures all equipment is checked, charged, cleaned and counted before it is handed over. Silent Groove staff have completed the AHA Hospitality & Tourism COVID-19 Hygiene Course to ensure all equipment has been cleaned to the highest standard. Headphones will come pre-charged with approximately 6-8 hours charge. Should any equipment not be packed or working upon receival, please contact Silent Groove immediately, so we can assist. Silent Groove reserves the right to not issue a refund if nothing is reported at the commencement of your party or event.
- Payments – online bookings are preferred. If you have an event requiring staff or delivery services, please contact us directly for a quote
- Security Bond – A security bond is required for each booking. When you make an online booking we require a credit card pre-authorisation, placed on the day of equipment pickup or the day before, for a minimum amount of $300. Your bank will place a hold or freeze on these funds, and it may appear as ‘pending’ on your bank account. The bond is released or unfrozen within 7 days after your equipment is returned. When pre-authorised funds are released or unfrozen, they simply disappear from your ‘pending transactions’ and the funds become available again. Unlike a standard transaction you don’t see a refund. For more than 99% of our clients, there is no need to charge your credit card. If we do need to make a charge because of lost/damaged equipment, we will always email or text you first to notify you. If you pay via direct debit, a bond will be included in your payment, and refunded within 7 days after your equipment is returned, provide no loss/damage of equipment.
- Cancellations – Once your booking is secured and paid for, any changes or variations may only be made up to 14 days before your event, provided equipment is available. Cancellation within 14 days of an event will incur a 30% termination fee of the total payment made. Cancellation within 7 days of an event will incur a 50% termination fee of the total payment made. Cancellation within 48 hours of an event will incur a 100% termination fee of the total payment made towards equipment hire. Any cancellations of bookings made at peak times (i.e. public holidays and New Years Eve) will incur a 50% termination fee for any time prior to 8 weeks before the event, and a 100% termination fee within 8 weeks of the event. Please note all cancellations requiring a refund will incur a $20 administration charge plus credit card surcharge fees, deducted from any amount that is returned.
- Damage or loss of equipment – We understand that accidents happen sometimes, however if any headphones, transmitters, disco lights, cables, or other equipment and crates are lost or damaged making them unusable you will be liable for the replacement cost. The cost of replacement will be $80 per headphone and $250 per transmitter, and will need to be paid via credit card before the pre-authorisation is cancelled. Additional charges apply for damaged or missing equipment (e.g. disco lights, power cords, cables, ear coverings, etc. To see the full list of charges click here) or if significant cleaning of equipment or cases is required, outside of the usual use or additional admin time is required as a result of damage. If charges for damaged or non returned equipment exceed the bond or credit card pre-authorisation, additional charges will be made to your credit card to cover these charges as required. If credit is unable to be charged, the debt will be referred to a debt recovery service. Should debt recovery be required, collection costs will be charged to the client. The best way to avoid this cost is to ensure you and your guests look after the equipment. For organised events we highly recommend utilising an enclosed space/tent to ensure the safety of the equipment. Any loss or damage to headphones and other equipment at organised events (with or without Silent Groove staff) will be invoiced after the event. Please note – should lost equipment be found and returned in working order, any additional charges will be refunded to the hirer (minus credit card and admin fees).
- Delivery or Pick-up – Because we understand that organising an event, function or party is a busy time, Silent Groove offers you the option to pick-up equipment from our location in North Beach (note this is within set times and following COVID-19 social distancing procedures). If you are organising a large event, please get in contact to ask about delivery costs. Please note, once pick-up/delivery arrangements have been confirmed, failure to be present at the agreed time will result in additional charges (this can be up to the full bond amount for failure to return equipment within 12 hours of the agreed time). Should equipment be arranged for pick-up and delivery back to Silent Groove by courier, all arrangements and payments are to be made by the customer. Please note failure to return equipment by the agreed time will result in additional charges.
- Equipment booked will be provided for 24 hour/overnight hire. All reasonable efforts will be made by Silent Groove to have all equipment hired ready for collection or delivered to you on the date you have requested. This will usually be provided the day before or day of your nominated booking date. Under these terms and conditions Silent Groove is not liable for any failure to deliver or delay in delivery for any reason outside of our control.
- Returning equipment – to ensure we can continue providing Perth with awesome Silent Groove disco equipment, we need you to ensure all equipment is checked and packed back into the Silent Groove storage containers provided. Equipment is to be returned to Silent Groove at the agreed time or you must be available on your nominated phone number to arrange collection of equipment. An agreed timeframe will be provided by Silent Groove via email. If collections are missed, additional hire costs and collection fees may be incurred.
- COVID-19 – Silent Groove will always comply with Government advice around COVID-19. If there are Government mandated restrictions in place on your exact booked date making it impossible to proceed with your booking, Silent Groove will provide a full refund (minus credit card surcharge fees), or alternatively will accommodate a change in date provided we have availability. If you or your guests become unwell due to COVID, and you need to change or cancel your booking, Silent Groove will accommodate a change in date provided we have availability, or offer a credit for that dollar value to be used within three months of the same financial year (noting hire rates change at peak times).
Orders
- All orders are subject to acceptance and availability. If an order is received that cannot be filled, Silent Groove will refund the customer for that order.
Price
- All pricing provided by Silent Groove is subject to change at any time without notice.
Privacy
- Silent Groove takes your privacy very seriously, and we only collect and keep information that you provide to us that is essential in completing and delivering your order.
- By placing an order with Silent Groove, you are automatically given exclusive access to promotions, specials and new product updates via email. You can unsubscribe from this at any time of course.
